Party Letting Policy

All hirers are required to complete a Party Letting Agreement prior to the proposed letting.
The hirer shall be responsible for and will keep the Y Centre indemnified against all damage, loss, injury or fatalities that may occur to any persons arising directly or indirectly from the use of the premises hired, whether such damage or injury arises accidentally or otherwise, except liability for injury or fatalities resulting from the negligence of the Y Centre.
The hirer is responsible for informing everyone attending their activity or course of the relevant Health and Safety requirements, including emergency evacuation procedures and the location of fire exits and fire extinguishers.
A minimum of one month’s notice is required from either party to cancel any booking. Cancellations made within one month’s notice will be charged to the hirer unless evidence of exceptional circumstances is provided. One week’s notice requires full payment, two weeks’ notice requires seventy five percent payment, and three weeks’ notice will result in the deposit being retained or, if not yet paid, fifty percent of the total fee being required.
The hirers are responsible for returning the facilities to an acceptable standard after use and for removing any recycling they produce.
The hirer shall not sublet the premises or reassign use to a third party without prior consent from the Centre’s staff.
All hirers may arrive up to 15 minutes prior to the start time of the party for set up, NO EARLIER, and must allow 15 minutes after the event to clear up.
Alcoholic drinks may only be brought into the building with the prior consent of the Manager.
The premises operate as a non smoking site. Smokers must leave the grounds in order to smoke.
Hirers and their guests should avoid parking on St Paul’s Road and use the Centre’s car park wherever possible.
The Board of Trustees reserves the right to alter the conditions of hire at any time.
Party hosts providing external services, including but not limited to face painters, bouncy castles, entertainers, or musical equipment, must adhere to the following conditions.
- The hirer or the hirer’s agents must provide evidence of valid public liability insurance.
- All electrical equipment must be PAT tested.
- Where the hirer intends to use a bouncy castle or any other inflatable, a relevant Public Liability insurance policy and registration with PIPA are essential and must be produced at the time of payment.
